Appointment Scheduling
How to Schedule
All appointments and consultations must be scheduled in advance through our online scheduling system, by phone at 888.658.GROW (888.658.4769), text 407.800.1797, or by email at [email protected]. Walk-in appointments are not available. All services are provided by appointment only.
Advance Notice Required
We recommend scheduling appointments at least forty-eight (48) hours in advance to ensure availability. Same-day appointments may be available on a limited basis depending on calendar availability but are not guaranteed. For complex services requiring preparation time (such as tax preparation, comprehensive insurance reviews, or custom design projects), additional advance notice may be required.
Time Zone
All appointment times are scheduled in Eastern Standard Time (EST) or Eastern Daylight Time (EDT) depending on the time of year. If you are located in a different time zone, please confirm the appointment time in your local time zone when scheduling to avoid confusion.
Appointment Confirmation
You will receive appointment confirmation via email and/or text message (SMS) after scheduling. Please verify that all appointment details are correct, including date, time, time zone, service type, and contact information. If any information is incorrect, contact us immediately at [email protected], text 407.800.1797, or call 888.658.GROW (888.658.4769) to make corrections.
Appointment Reminders
We send appointment reminders via email and text message (SMS) twenty-four (24) hours before your scheduled appointment. If you do not receive a reminder, please contact us to confirm your appointment is still scheduled. Failure to receive a reminder does not excuse no-shows or late cancellations.
Consultation Services and Fees
Commission-Based Consultation Services (Currently No Direct Charge)
Certain consultation services are currently provided at no direct charge to you because these consultations typically lead to commission-based services where we receive compensation from third parties. These no-charge consultation services currently include initial consultations and discovery calls (fifteen-minute introductory consultations to discuss your needs and determine if our services are appropriate), insurance consultations (Medicare Advantage, ACA/Marketplace, life insurance, ancillary products), credit and financial services consultations (referrals to UCES and UWE services), and budgeting consultation calls (for clients enrolled in UCES services through our referral).
For these commission-based consultations, you are not charged a consultation fee. However, if you proceed with services, we may receive commissions from insurance carriers when you enroll in insurance products, affiliate commissions from UCES or UWE when you sign up for their services through our referral, or other compensation as disclosed in our Terms & Conditions and on applicable service pages.
Booking Fee for Consultations (Applicable When Implemented)
To ensure efficient use of appointment availability and to reduce missed appointments, we may implement a refundable booking fee for consultations. When applicable, a twenty-five dollar ($25) booking fee will be required at the time of scheduling for all consultation appointments. This booking fee serves as a commitment to attend your scheduled appointment and helps us maintain availability for all clients who need our services.
The booking fee operates as follows. The twenty-five dollar ($25) booking fee will only apply after five (5) consecutive missed appointments. It is fully refundable and will be returned to you immediately upon completion of your scheduled appointment. If you proceed with paid services (such as tax preparation, design services, or training programs), the booking fee will be applied as a credit toward your service fees. If you cancel your appointment with at least forty-eight (48) hours advance notice, the booking fee will be fully refunded. If you cancel with less than forty-eight (48) hours notice or fail to attend your scheduled appointment without cancellation (no-show), the booking fee is forfeited and will not be refunded.
The booking fee policy will be clearly communicated when scheduling appointments, and you will be notified before any booking fees are charged. The booking fee is charged at the time of scheduling and is processed through our secure payment system (Stripe).
Paid Consultation Services (Applicable When Implemented)
We may offer information-only consultations or specialized consulting services that are charged directly rather than commission-based. When applicable, paid consultation services include information-only consultations where you are seeking advice or information but do not intend to purchase products or services that generate commissions for us, specialized business consulting beyond our standard services, advanced tax planning consultations beyond basic tax preparation services, comprehensive financial analysis and planning consultations, and other specialized consulting services as offered.
Consultation fees for paid services range from twenty-five dollars ($25) to one hundred dollars ($297) depending on the type of consultation, duration, complexity, and expertise required. Specific consultation fees will be clearly disclosed at the time of scheduling and must be agreed upon before the appointment is confirmed.
Payment for paid consultations is due in full at the time of booking and is charged to your payment method through our secure payment system (Stripe). Consultation fees are non-refundable if you cancel with less than forty-eight (48) hours notice. If you cancel with at least forty-eight (48) hours advance notice, consultation fees will be fully refunded. If you fail to attend your scheduled consultation without cancellation (no-show), the full consultation fee is forfeited and will not be refunded.
Scheduling Policy (NM Systems)
Free Discovery & Strategy Calls (15 minutes): Complimentary consultation calls to discuss your business challenges and determine if NM Systems is the right fit. No booking fee required.
Blueprint Discovery Session (90 minutes): Available FREE to clients who have purchased The Blueprint package. This deep-dive session maps your custom systems roadmap. Complete the intake questionnaire before your call. Unqualified bookings will be cancelled without notice.
Monthly Coaching Calls (60 minutes): Available FREE to active Strategic Partner and Co-Pilot members only. Come prepared with updates on implementation and questions. Unauthorized bookings will be cancelled without notice.
One-Time Paid Consultation ($297): For those needing strategic guidance on a specific challenge without ongoing commitment. Payment required at booking. Non-refundable once scheduled. If you cancel with at least forty-eight (48) hours advance notice, consultation fees will be fully refunded. If you cancel with less than forty-eight (48) hours notice or fail to attend (no-show), the full consultation fee is forfeited and will not be refunded.
Cancellation Policy for Free Sessions: All complimentary NM Systems appointments require 48-hour advance notice for cancellation or rescheduling. Repeated no-shows may result in loss of scheduling privileges.
Payment Timing by Service Type
Tax Preparation Services
For tax preparation services, payment timing depends on your tax refund status and the capabilities of our tax preparation software. If you are expecting a federal tax refund, we will deduct our tax preparation fee directly from your refund when software capabilities allow this option. This allows you to receive our services without upfront out-of-pocket cost, and your refund amount will be reduced by our fee. If you owe taxes or software limitations prevent refund fee deduction, payment is due upon completion of your tax return before we file your return with the IRS and state tax authorities.
Tax preparation fees are based on the complexity of your tax return as outlined in our Tax Preparation Fee Schedule, which ranges from a minimum of two hundred seventy-five dollars ($275) to a maximum of three thousand dollars ($3,000). You will receive a fee estimate after your initial consultation once we have reviewed the forms and schedules required for your return. The final fee is confirmed before we file your return.
If you cancel tax preparation services after work has commenced, fees for work completed are due immediately and are non-refundable. If you cancel before any work has been performed, you will receive a full refund of any payments made.
Design and Branding Services (NM Studio)
For all design and branding services provided through NM Studio, payment is due in full upfront before work begins on your project. We do not begin design work until payment has been received and cleared. Design services are offered in packages ranging from one thousand dollars ($1,000) to three thousand dollars ($3,000), with additional à la carte options available as outlined on our NM Studio website.
Payment must be made via credit card, debit card, or ACH transfer through our secure payment system (Stripe). Once payment is received, we will send you a project questionnaire to gather information about your brand, design preferences, and project requirements. Work begins after we receive your completed questionnaire.
If you cancel design services before any work has been performed, you will receive a full refund. Once design work has commenced (after we have begun creating concepts based on your project questionnaire), payments are non-refundable, as stated in our Terms & Conditions. Revision rounds are included as specified in your selected package, and additional revisions beyond the included rounds may be available for an additional fee.
Agent Training Programs (Agent Assist & Agency Builder)
For Agent Assist and Agency Builder training programs, payment is due in full before access is granted to training materials, community forums, templates, and other program resources. These are digital products that provide immediate access to content, and therefore payment must be received before you can access any materials.
Training programs are priced according to tier and features selected, ranging from forty-seven dollars ($47) for downline pricing on Discovery tier to four thousand nine hundred ninety-seven dollars ($4,997) for public pricing on the Legacy with Agency Builder tier. Current pricing and tier options are available on our Agent Assist website at agentassist.nicolettemanagement.com.
Payment must be made via credit card, debit card, or ACH transfer through our secure payment system. Once payment is received and cleared, you will receive login credentials and access instructions via email within twenty-four (24) hours. Due to the immediate delivery of digital content, refunds are not available once access has been granted, except as specified in our Terms & Conditions (refund available within seven days if you have not accessed training materials).
Notary Services
For notary services, payment is due at the time of service. Our notary fee is ten dollars ($10) per notary stamp/seal. If notary services are performed more than five (5) miles from our office location (PO Box 181644, Casselberry, FL 32718), mileage fees apply and will be calculated based on distance traveled. Mileage fees will be communicated before scheduling mobile notary services.
Payment for notary services may be made via cash, credit card, debit card, or digital payment methods (Zelle, Venmo, CashApp) at the time of service. Notary fees are non-refundable once services have been performed. If you cancel notary services with at least twenty-four (24) hours notice, there is no cancellation fee. If you cancel with less than twenty-four (24) hours notice or fail to be available at the scheduled time and location (no-show), you may be charged a trip fee equal to the mileage fee that would have applied.
Insurance Services
Insurance brokerage services (Medicare Advantage, ACA/Marketplace health insurance, life insurance, fixed annuities, and ancillary products) are provided at no direct charge to you. We receive commissions from insurance carriers when you enroll in insurance products. These commissions are paid by the carriers and do not increase your premium costs. Commission rates and compensation structures are disclosed in our Terms & Conditions.
There is no fee to schedule insurance consultations, receive quotes, compare plans, or discuss insurance options. You are only charged premiums by the insurance carrier if you choose to enroll in an insurance product, and those premiums are paid directly to the insurance carrier according to their billing terms, not to Nicolette Management LLC.
Credit and Financial Services (UCES/UWE Referrals)
When we refer you to United Credit Education Services (UCES) or United Wealth Education (UWE) for credit restoration, financial education, legal document services, or other financial wellness services, you pay UCES or UWE directly for their services according to their payment terms and pricing. We do not charge you directly for these referrals. We receive affiliate commissions from UCES and UWE when you sign up for their services through our referral.
Any complementary budgeting consultations, setup assistance, or ongoing support we provide to help you maximize the value of UCES and UWE services are currently provided at no additional charge to you as part of our affiliate relationship. If we implement fees for enhanced budgeting consultation services in the future, those fees will be disclosed before services are provided.
Business Systems Consulting Services (NM Systems)
NM Systems services include one-time packages and recurring monthly subscriptions. Payment requirements and refund policies vary by service type as outlined below.
The Blueprint Package ($1,497) Payment is due in full at the time of purchase before your discovery session is scheduled. Payment is processed through our secure payment system (Stripe).
Refund Policy: Full refund available if you cancel BEFORE your 90-minute discovery session is scheduled. Once the discovery session is scheduled, no refunds are provided. Once the discovery session is conducted, no refunds are provided under any circumstances. This is because work commences immediately upon scheduling, including calendar reservation, session preparation, and custom roadmap development.
The Blueprint includes: 90-minute discovery session, custom systems roadmap document, live walkthrough of GoHighLevel foundation setup, and 30 days of text/email implementation support (beginning the day after payment).
Monthly Subscription Services (NM Systems)
Office Hours ($197/month), Strategic Partner ($497/month), and Co-Pilot ($997/month) are recurring monthly subscriptions that automatically renew until canceled.
Payment: Subscriptions are billed monthly in advance on the same day each month as your initial purchase. Your payment method on file will be charged automatically. If payment fails, we will attempt to process it up to two additional times over seven days. If unsuccessful, your subscription will be suspended until payment is received.
Refund Policy: First month payment is non-refundable once you attend your first call or access any resources/support. All subsequent monthly fees are non-refundable once billed. Monthly calls and support do not roll over if unused.
Cancellation takes effect at the end of your current billing period with no prorated refunds for partial months.
Cancellation: To cancel, email [email protected] with "NM Systems Cancellation" in the subject line at least 3 business days before your next billing date. You will receive confirmation within 2 business days. The current month's fee is non-refundable, but no future charges will occur after your current billing period ends.
Price Changes: We may change subscription pricing with 30 days advance notice via email. Existing subscribers receive 60 days protection from price increases.
One-Time Paid Consultation ($297)
Payment: Due at the time of booking and is processed through our secure payment system (Stripe).
Refund Policy: Non-refundable once scheduled. If you cancel with at least forty-eight (48) hours advance notice before the scheduled time, consultation fees will be fully refunded.
Cancellation: If you cancel with less than forty-eight (48) hours notice or fail to attend (no-show), the full consultation fee is forfeited and will not be refunded.
Co-Pilot Limited Availability
The Co-Pilot package ($997/month) has limited availability and requires an application and approval process. Application does not guarantee acceptance. If your application is denied, any payment submitted will be refunded in full within 7 business days. We reserve the right to limit active Co-Pilot clients, implement waitlists, and adjust pricing based on capacity and demand.
Cancellation Policy
Required Advance Notice
If you need to cancel an appointment or consultation, you must provide at least forty-eight (48) hours advance notice to receive a full refund of any fees paid. Cancellations can be made through our online scheduling system, by phone at 888.658.GROW (888.658.4769), or by email at [email protected]. For purposes of calculating the forty-eight-hour notice period, notice is considered given when we receive your cancellation communication during business hours (Monday through Friday, 9:00 AM to 5:00 PM EST), not when you send it.
For example, if your appointment is scheduled for Monday at 10:00 AM EST, you must cancel by the previous Saturday at 10:00 AM EST to meet the forty-eight-hour requirement. Cancellations received on weekends or after business hours are processed on the next business day.
Cancellations With Proper Notice (48+ Hours)
If you cancel with at least forty-eight (48) hours advance notice, the following applies. For commission-based consultations (currently no charge), there is no cancellation fee, and you may reschedule at any time. When booking fees are implemented, booking fees will be fully refunded. For paid consultations (when applicable), consultation fees will be fully refunded. For services where payment has been received, refunds will be processed according to our refund policy in our Terms & Conditions.
Refunds are processed within seven (7) business days and will be returned to the original payment method used at the time of booking.
Late Cancellations (Less Than 48 Hours Notice)
If you cancel with less than forty-eight (48) hours advance notice, the following applies. For commission-based consultations (currently no charge), there is currently no late cancellation fee, but when booking fees are implemented, the booking fee will be forfeited and not refunded. For paid consultations (when applicable), the full consultation fee is forfeited and not refunded. For services where payment has been received (tax preparation, design services, training programs, business systems), cancellation terms and refund eligibility are governed by our Terms & Conditions based on whether work has commenced.
Late cancellations are tracked, and multiple late cancellations may result in restrictions on future booking privileges as described in the "No-Show Policy and Consequences" section below.
Emergency Cancellations
We understand that true emergencies occur (serious illness, family emergencies, natural disasters, accidents, or other unforeseen circumstances beyond your control). If you must cancel due to a genuine emergency and cannot provide forty-eight (48) hours notice, please contact us as soon as possible at 888.658.GROW (888.658.4769), 407.800.1797, or [email protected] and explain your situation.
We will review emergency cancellation requests on a case-by-case basis and may waive late cancellation fees or forfeiture of booking fees at our discretion depending on the circumstances and documentation provided (such as medical documentation, police reports, or other evidence of the emergency). Emergency cancellation fee waivers are granted at our sole discretion and are not guaranteed.
Rescheduling Policy
How to Reschedule
If you need to reschedule an appointment, you may do so through our online scheduling system, by phone at 888.658.GROW (888.658.4769), 407.800.1797, or by email at [email protected]. Rescheduling is subject to availability, and your preferred new date and time may not be available. We will work with you to find a mutually convenient alternative time.
Advance Notice Required for Rescheduling
Rescheduling requests must be made with at least forty-eight (48) hours advance notice to avoid forfeiture of booking fees or consultation fees (when applicable). If you request to reschedule with less than forty-eight (48) hours notice, it is treated as a late cancellation, and the cancellation policy above applies.
Courtesy Reschedule Allowance
We understand that schedules change and conflicts arise. We provide one (1) courtesy reschedule with forty-eight (48) hours notice at no charge and with no impact on future booking privileges. Your first reschedule request made with proper notice is processed without penalty.
If you reschedule the same appointment a second time, the following applies. For commission-based consultations, no fee is charged, but repeated rescheduling may be noted in your client file. When booking fees are applicable, the booking fee remains in place and transfers to the new appointment date. For paid consultations (when applicable), the consultation fee remains in place and transfers to the new appointment date. However, if you fail to attend the rescheduled appointment (second no-show) or cancel again with less than forty-eight (48) hours notice, standard late cancellation fees apply, and you may lose future booking privileges.
If you need to reschedule more than twice, we may require prepayment or a higher booking fee to secure future appointments. Clients who repeatedly reschedule without attending appointments may have restrictions placed on future booking capabilities to ensure appointment availability for clients who honor their scheduled times.
Same-Day Rescheduling
Same-day rescheduling (calling on the day of your appointment to request a different time) is not permitted except in the case of genuine emergencies. Same-day rescheduling requests are treated as late cancellations and are subject to the late cancellation policy, including forfeiture of booking fees or consultation fees when applicable.
No-Show Policy and Consequences
Definition of No-Show
A "no-show" occurs when you fail to attend a scheduled appointment without providing any advance cancellation notice, or when you arrive more than fifteen (15) minutes late to your scheduled appointment time without prior notification. If you are running late, please call us immediately at 888.658.GROW (888.658.4769) to let us know. We may be able to accommodate a slightly delayed start time depending on our schedule, but we cannot guarantee that late arrivals can be seen.
Appointments begin at the scheduled time. If you arrive more than fifteen (15) minutes late, we may not have sufficient time remaining to provide the service, and the appointment may be considered a no-show even if you do arrive. We reserve the right to end appointments at the originally scheduled end time even if you arrived late, and no refunds or credits will be provided for shortened appointments due to late arrival.
No-Show Fees and Forfeiture
If you no-show for a scheduled appointment, the following applies. For commission-based consultations (currently no charge), there is currently no no-show fee, but when booking fees are implemented, the twenty-five dollar ($25) booking fee is forfeited and not refunded. For paid consultations (when applicable), the full consultation fee is forfeited and not refunded. For services where payment has been received (tax preparation, design services, training programs), refund policies are governed by our Terms & Conditions. For notary services requiring travel (mobile notary), you may be charged the mileage/trip fee that would have applied.
No-show fees are not intended as penalties but rather as compensation for the appointment time that was reserved for you and could have been made available to other clients. When you no-show, you prevent other clients who need our services from accessing that appointment slot.
Multiple No-Shows and Booking Restrictions
We track no-shows and late cancellations in client records. Your first no-show will result in forfeiture of applicable fees but will not restrict your ability to schedule future appointments. However, repeated no-shows demonstrate a pattern of not honoring scheduled appointments and impact our ability to serve other clients effectively.
If you no-show for a second appointment or have a combination of multiple late cancellations and no-shows, the following consequences may apply. You may be required to pay a higher booking fee (up to one hundred dollars ($100)) to secure future appointments. You may be restricted to booking only certain appointment types or times. You may be required to make full payment for services in advance before future appointments are confirmed. In cases of excessive no-shows (three or more), you may lose the privilege of booking appointments with Nicolette Management LLC.
These restrictions are not intended to be punitive but rather to ensure that our appointment availability is used effectively and that clients who honor their commitments have access to the services they need. If booking restrictions have been placed on your account due to no-shows or late cancellations, you may appeal by contacting us at [email protected] and explaining the circumstances that led to the missed appointments.
Reinstatement After Booking Restrictions
If you have lost booking privileges due to multiple no-shows, you may be eligible for reinstatement after a period of time (typically ninety (90) days) by demonstrating changed circumstances or by paying forfeited fees and agreeing to enhanced booking requirements (such as higher booking fees or prepayment). Reinstatement is considered on a case-by-case basis and is granted at our sole discretion.
Late Payment Policy
When Payment is Overdue
For services where payment is due after service delivery (such as tax preparation when fees cannot be deducted from refunds), payment is considered overdue if not received within seven (7) days of the invoice date. We will send payment reminders via email before payment is considered overdue.
Consequences of Late Payment
If payment is not received by the due date, the following may occur. For tax preparation services, we will not file your tax return with the IRS or state tax authorities until payment is received in full. Overdue invoices may be subject to a late payment fee of twenty-five dollars ($25) or five percent (5%) of the invoice amount, whichever is greater, if payment is not received within fourteen (14) days of the invoice date. You may be required to make payment in advance before future services are provided. Seriously overdue accounts (thirty days or more past due) may be referred to collections, and you may be responsible for collection costs and reasonable attorney's fees.
We do not charge interest on overdue balances, but late payment fees will apply as specified above. If you are experiencing financial hardship and cannot pay your invoice on time, please contact us immediately at [email protected] to discuss payment arrangements. We are willing to work with clients who communicate proactively about payment difficulties.
Deposit Policy (Applicable When Required)
Services Requiring Deposits
For certain services, we may require a deposit to secure your appointment or commence work. Deposit requirements vary by service type and will be clearly communicated at the time of scheduling or service agreement. When applicable, deposits may be required for comprehensive tax preparation services (particularly for complex returns requiring significant preparation time), large-scale design projects (projects exceeding three thousand dollars ($3,000) in total fees), custom consulting engagements (projects requiring significant research, analysis, or preparation), or other services where significant work must be performed before final payment is due.
Deposit amounts typically range from twenty-five dollars ($25) to one hundred dollars ($100) or a percentage of the total service fee (typically twenty-five percent (25%) to fifty percent (50%)), depending on the service type and complexity. Specific deposit amounts will be disclosed before you are asked to make a deposit payment.
How Deposits Work
Deposits are charged at the time of scheduling or service agreement and are processed through our secure payment system (Stripe). Deposits are applied as a credit toward your final service fees. The remaining balance is due according to the payment timing specified for that service type (before service delivery, upon completion, or as otherwise agreed). Deposits are separate from booking fees. Booking fees are refundable if you attend your appointment, while deposits are non-refundable once work has commenced.
Deposit Refund Policy
If you cancel services with at least forty-eight (48) hours notice before any work has commenced, deposits are fully refundable. Once work has commenced (preparation has begun, research has been conducted, design concepts have been created, or other substantive work has been performed), deposits are non-refundable even if you cancel services. This is because the deposit compensates us for work already performed or resources already allocated to your project. The determination of whether work has commenced is made at our discretion based on the activities performed. You will be notified when work commences on your project.
If you no-show for a scheduled appointment for which a deposit was required, the deposit is forfeited and not refunded. If you fail to provide information or cooperation needed to complete your project (such as failing to complete project questionnaires, not providing tax documents, or not responding to communication), and the project cannot be completed as a result, the deposit is forfeited and not refunded.
Special Circumstances and Accommodations
Disability Accommodations
If you have a disability and require accommodations for appointments (such as extended appointment times, alternative communication methods, accessible meeting locations, or other reasonable accommodations), please inform us at the time of scheduling or as soon as possible before your appointment. We are committed to providing equal access to our services and will work with you to provide reasonable accommodations.

Language Assistance
Our services are primarily provided in English. If you require language assistance or interpretation services, please inform us at the time of scheduling. We will make reasonable efforts to accommodate language needs, but we cannot guarantee availability of interpretation services for all languages. You may bring your own interpreter to appointments if needed.
Technology Issues
For video consultations or virtual appointments, technology issues on our end that prevent the appointment from occurring will result in immediate rescheduling at no charge and no penalty to you. Technology issues on your end (poor internet connection, device problems, software issues) may be treated as a no-show if you cannot resolve them within fifteen (15) minutes of the scheduled start time. Please test your technology before scheduled virtual appointments.
If recurring technology issues prevent virtual appointments from occurring, we may recommend in-person appointments or phone consultations as alternatives.
Our Cancellation and Rescheduling Rights
While this policy primarily addresses client cancellations and no-shows, we occasionally need to cancel or reschedule appointments due to illness, emergencies, scheduling conflicts, or other unforeseen circumstances. If we must cancel or reschedule your appointment, we will provide you with as much advance notice as possible (typically at least twenty-four (24) hours when feasible) and will work with you to find an alternative time that is convenient for you.
